We've created a standardized vendor request form for you to send out to all employees. They can request vendors with this form and all the requests are routed into the same place within Conveyor. You can easily turn these requests into vendor reviews.
Navigate to the Internal Vendor Requests page, by clicking on "Vendor Management" in the main navigation, and selecting "Reviews". From there, click on the "Internal Vendor Requests" tab. Also, you can simply visit this URL.
Click on the "Copy Request Form URL" button in order to copy your organizations unique vendor intake form URL.
You can send this URL out to employees. They'll be able to visit the URL, and without signing up for a Conveyor account they can request a new vendor.
In order to receive email notifications whenever someone submits a vendor request:
- Click on your name in the top right-hand corner of the app
- Select Preferences
- Check the box next to "Notify me when a vendor request is submitted"
As requests come in you will be able to view them here. All unprocessed requests will be marked as "pending". Click into a "pending" request to begin reviewing it.
You'll see all the information submitted on the form on the left hand sidebar on the screen.
Step 1: Chose/Create SaaS System
The first step is to create a new SaaS system in Conveyor based on the product they're requesting in their form. Click on the input under system details to input the name of the SaaS System/Product that they're requesting. In the case that they've requested a product you're already using, it will match it. Otherwise simply hit enter to create a new one. When creating a new system you'll see that it copies the information from the form, but you can edit as needed.
Step 2: Choose/Create Vendor
Next, you need to create the overall Vendor, the company that provide the product/SaaS system you added in the previous step. Sometimes these are the same (think Slack), other times the parent vendor is different (think Atlassian which is the vendor for the SaaS systems Jira and Confluence). Similar to the last step, if you create a new vendor it will pre-populate the submitted form information for that vendor. You can edit any of the details that need adjusting here.
Step 3: Open A Review
On the third step you can create a review for this vendor. Simply assign someone to handle that review, and set a due date. We've pre-filled their "Ideal Due Date" that they selected on the form, but you can edit that date to be whatever you want it to be.
You can then conduct a Vendor Review as you normally would.
